Planning your first school camp

We understand how much work goes into planning a school camp. That’s why we have our own online portal to upload and track student information, and plenty of resources to help with your school council and parents. We’re happy to answer any question, big or small. And once you’re on site, our instructors lead every activity and guide the program for you.

From enquiry to camp

Step by step

2. Visit, if you’d like toTeachers are welcome to come and look around on any weekday that suits. Just let us know in advance so we can give you a tour.
3. Confirm your program and datesWe build a program around your group, year level and length of stay, then lock your dates into our booking system. See a sample program.
4. Get school council approvalDownload the paperwork your school council and department need: activity procedures, risk register, emergency management plan, insurance certificate and safeguarding policies. Our Curriculum Links Planner maps your program to the Victorian Curriculum F–10.
5. Secure your bookingOnce your school council has approved the camp, we’ll email you the hire agreement. Your booking is secured when you pay a 25% deposit and return the signed agreement.
6. Use your online portalWe’ll email you a link to your camp’s portal, with a checklist of your next steps.
7. Book your transportWe recommend Christian’s Bus Company in Bacchus Marsh.
8. At least four weeks before campLet us know your estimated numbers.
9. At least two weeks before campConfirm final numbers and room allocations, and enter every student’s allergy and dietary information in the portal. If your numbers change by a few after that, that’s OK.
10. After campThe balance is due seven days after you leave.
Timing

When to book

Most schools book nine to twelve months ahead, so it’s worth starting early if you have particular dates in mind.

Teachers on camp

Teachers attend free, at a ratio of one teacher to every ten students. Our instructors run every activity during the day and guide the program. Your teachers look after students overnight, run the evening campfire or night walk after a briefing from our staff, and have a teacher at every meal service so students with dietary requirements get the right meal.

For students with allergies, your school appoints a Dietary Coordinator — a teacher who is on camp the whole time and confirms the details with our kitchen at check-in.

At home

Helping parents get ready

Parents usually want to know three things: what to pack, what their child will eat, and how they’ll be looked after. Our What to Bring list, menus with matching products lists, and safeguarding policies answer all three, and you can send them home as they are.
