Camp Sunnystones (“Sunnystones”, “we”, “us”) is a family-owned school camp, wedding and group-stay venue at 98 Possumtail Run, Merrimu VIC 3340. We take the privacy of our guests, campers, schools and couples seriously. This policy explains what personal information we collect, why, and how we handle it, in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
- Contact details — your name, email address, phone number, and (for schools) your school’s name and postcode, when you enquire, book a tour, or contact us.
- Booking details — group sizes, preferred dates, year levels, dietary requirements, and the information needed to plan and run your camp, wedding or stay.
- Camper information provided by schools — schools attending camp provide us with the information needed to run camp safely, which can include students’ dietary requirements and relevant health or support needs. We treat this with particular care: we use it only for running that camp (catering, safety, supervision), share it only with the staff who need it, and handle it under our safeguarding policies.

How we collect it
Directly from you — through the enquiry forms on this website, tour bookings, email, phone, and in person — and from the school or event organiser arranging a booking on your behalf. Our website forms and tour bookings are powered by HubSpot, our customer management system, where your enquiry details are stored.
Cookies and website analytics
Like most websites, we use cookies and similar technologies to understand how the site is used and to make our advertising more relevant:
- Google Analytics — anonymous statistics about how visitors use our site (pages visited, device type), which help us improve it.
- Google Ads and Meta (Facebook/Instagram) advertising tools — these may show you Sunnystones ads on other websites and social media after you’ve visited our site, and help us measure whether our advertising works.
- HubSpot — powers our enquiry forms and connects your enquiry to our records so we can respond properly.
You can control cookies through your browser settings, and opt out of personalised advertising at Google Ad Settings and in your Meta ad preferences. The website works fine with cookies disabled.

Who we share it with
We never sell your personal information. We share it only with the service providers who help us operate — our customer management system (HubSpot), email and document systems (Microsoft 365), and the analytics and advertising services above — and where the law requires or authorises disclosure. Some of these providers store data on servers outside Australia (for example in the United States); we use reputable providers who commit to safeguarding personal information.
Sensitive information
We only use sensitive information (such as health or dietary information) for the purpose it was given to us — most commonly running a safe camp or event — for directly related purposes, with consent, or where required by law.
Storage, security and retention
We store personal information in a manner that reasonably protects it from misuse, loss and unauthorised access. We keep it only as long as we need it for our business records and legal obligations, and destroy or de-identify it when it is no longer needed.
Access, correction and complaints
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by writing to us — there’s no charge for asking, though an administrative fee may apply for providing copies. If you have a concern about how we’ve handled your information, contact us first and we’ll do our best to resolve it. If you’re not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
